Event Planning

 Having worked within the event planning industry for nearly 15 years there aren't many surprises left - but occasionally I still get the "they did what" pass my lips! Why am I unsurprised anymore - because over the years the amount one rule for event planning is putting time into the pre planning of the event, then planning contingencies for the exceptions which will happen?

So where does one start? As far out from the event date as possible as getting space is that the initiative . In Orlando where we do tons of labor it's commonplace to be booking one year out at a number of the venues, as they're booked solidly hebdomadally .


The first few decisions are the simplest . what's the budget? what's the event about? a celebration , corporate seminar, convention, festival, wedding, anniversary the list is endless, but one thing remains a continuing once the event features a name and therefore the sort of event is set , subsequent step are going to be to make a decision where to carry the event. this is often where the important event planners stand out from the gang . So you've got an occasion - okay lets book a hotel is generally subsequent answer but why would you miss out on a chance to make a singular experience for your client. Stop thinking sort of a newbie!

What about an event/launch or party on the highest floor of a multistory parking lot , we've even appropriated parking lots for major festivals downtown and invited 5000 people to attend. Used castles for car launches and produced tours for musical competitions.

So know we've an occasion and therefore the location/venue. does one need planning permission for the event? If you've got tents, or are somewhere public the solution goes to be Yes. Get that let application in quickly, the town will have many questions for you to answer. don't be concerned they're going to let the event happen they only want every answer and t crossed, so allow time for them.


Are you helping with the marketing too? now's the time to urge all this started and therefore the timeline built when the copy, printing, mailing emailing must be done. does one see a pattern starting, timelines, pre planning, etc.


Next on the list goes to be catering commonly called F&B. is that this a sit down event, get up cocktails, dinner reception, hors-devours, alcohol, etc. Again another decision and one that needs a budget figure. Hot meals catered with full service can cost upwards of $50 a plate or as low as $19. Its all about the budget. Once you've got selected what's required your assistant will have an inventory of suitable caterers who can produce the meals.
